title: What the statuses mean
description: "Tell prepared, sent and accepted apart, read the status on each work for each society, and see what moves a work to the next status."
keywords: [status, chips, prepared, sent, accepted, awaiting response, with the society, needs information, needs correction, no TrackForge history, rejected]
---

Each work has a status for every society you register with. It says where the work has got to with that society and what, if anything, you do next. One work can be **Accepted** by one society and **Ready** for another.

## Prepared, sent and accepted

These three words mark three different moments.

- **Prepared** means TrackForge has built a file. It is ready to download and nothing has gone to the society. The status reads **Prepared — not sent**.
- **Sent** means you sent the file to the society yourself, outside TrackForge, and recorded the send. The status then reads **Awaiting response**. No status is called Sent; the work's **Timeline** has a line **Sent**.
- **Accepted** means the society's response says it accepted the version you sent, and you have uploaded that response. The status reads **Accepted**. It is not proof of collection.

TrackForge sends nothing to a society itself. You move a work along: you prepare the file, download it and send it, record that you sent it, and upload the society's response. There is no button to send a file again. When a society rejects a work, you fix it, save it, prepare a new file, send it and record the send again. See [Download, send and record](/docs/workspace/files/send), [Upload a response](/docs/workspace/files/upload-a-response) and [Fix and send again](/docs/workspace/files/fix-and-send-again).

TrackForge moves a work on its own only through the first four statuses in the table: it checks the saved version again after each save.

The main statuses of one work with one society, and what moves the work from each to the next. TrackForge does the checking; every other move is yours. Accepted with changes sits with Accepted.

## Every status

| Status | What it means | What you do |
|---|---|---|
| **Checking…** | TrackForge is checking the latest saved version against this society's rules. | Wait. If it seems stuck, press **Refresh**. |
| **Needs information** | Checks found details to add before a file can be prepared for this society. | Open the work's **To do**. See [Fix problems on a work](/docs/workspace/catalogue/fix-problems). |
| **Couldn't check** | The check could not run. | Press **Check again** in the work's **To do**, or try the checks again from Settings. |
| **Ready** | The work passes the checks available for this society. | Prepare a file. See [Prepare a file](/docs/workspace/files/prepare). |
| **No TrackForge history** | Nothing was prepared or sent from TrackForge for this society. The work may already be registered elsewhere. | Nothing. It says only that TrackForge holds no record; it is not **Accepted**. |
| **Prepared — not sent** | Your file is built and ready to download. Nothing has been sent. | Download it, send it yourself, record the send. |
| **Awaiting response** | A send is recorded and no response has been matched yet. Hover over it to see when you sent the file and how many days ago. | When the society replies, upload its response. |
| **Accepted** | The society accepted the version you submitted. | Nothing. If you change the work later, **Changed since submission** appears. |
| **Accepted with changes** | Accepted, with changes made by the society for you to review. | Open the response and review them. |
| **Needs correction** | The society rejected the work or asked for a correction. | Fix the work. See [Fix and send again](/docs/workspace/files/fix-and-send-again). |
| **Conflict** | The society reported a conflicting claim or registration. | Open the response. See [Understand a response](/docs/workspace/files/understand-a-response). |
| **Response needs review** | The society sent a response TrackForge cannot classify, such as a duplicate, a society not taking part, or one work number given to two works. | Open the response to see why. |
| **File you supplied** | A registration file you uploaded. It is not a society response. | Press **Review supplied history**. See [Upload your registration history](/docs/workspace/files/registration-history). |
| **Status unavailable** | This page does not recognise the status. | Refresh the page. |

**Needs information** has other names on other screens: a row in the list says **Details missing**, **Today** says **Fix what is missing**, and the panel above a filtered list says **What is holding your works up**. They are the same thing.

Two notes can sit under a status. **Changed since submission** means the saved work changed after the version the society has. **Registration differs from catalogue** means the registration is not the same as your catalogue; **Review the difference** opens the comparison on the work. Until you choose your societies, a work shows one summary instead of a status, such as **Not checked yet — choose your societies**. See [Societies](/docs/workspace/settings/societies).

## Where you see a status

- **In the list.** On a wide screen each society has a column, with short words: **No history**, **Awaiting** and **Review response**. A work with nothing prepared or sent for a society shows **No history** in that column even while it still needs information; the **Your details** column says **Details missing** instead. On a phone the list is a set of cards: each society shows as its name and its status in full, and a society with no TrackForge history is left out. Hover over a status, or focus or press it, to read the society, the status and the evidence behind it.
- **On a work.** The **Status** panel has one row per society, with a link beside it to the next step, such as **Review prepared file**, **Open delivery record**, **Review response** or **See To do**. Societies with nothing prepared or sent and the same status share one row. The **Timeline** fold lists, newest first, **File prepared**, **Sent**, **Response received**, **History supplied** and **Correction saved**.
- **After a rejection is fixed.** The panel reads **Correction saved, not sent yet**, with **Prepare the replacement**. Once the replacement is prepared it reads **Replacement prepared, not recorded as sent**, with **Open the replacement file**. The society still holds the rejected version.

## Find works by status

Choose a **Society**, then **Status**. Each choice holds more than one status:

- **Needs your information**: **Needs information**.
- **Not checked yet**: **Checking…** and **Couldn't check**.
- **Ready to prepare**: **Ready**.
- **With the society**: **Prepared — not sent** and **Awaiting response**. A work here may not have been sent.
- **Accepted**: **Accepted** and **Accepted with changes**.
- **Needs correction or review**: **Needs correction**, **Conflict** and **Response needs review**.
- **No TrackForge history**: **No TrackForge history**.
