title: Publisher details
description: "Set your publisher name, IPI number and filename code, and the defaults that the files you prepare start from."
keywords: [publisher details, publisher name, IPI number, filename code, file settings, lowest file number, type of file, settings]

Your publisher details say who is sending your files: your publisher name, your [IPI](/docs/cwr/glossary#ipi) number and a short code for naming files. A file cannot be prepared without them, and TrackForge uses them to check your works. This is step three of the **Get set up** card, and the prepare page fills them in from here.

## Before you start

Only owners and editors can change these. If you can only look, the boxes are switched off and there is no **Save settings** button.

Have to hand the name your [society](/docs/cwr/glossary#society) holds for you, your publisher's IPI name number and the 2 or 3 letters your society gave you for naming files.

## Steps

1. Open **Settings**. The card **Your publisher details** is below **Your societies**.
2. In **Publisher name (as registered)**, type your company or publisher name exactly as your society has it. Spaces at either end go when you leave the box.
3. In **Publisher IPI number**, type your publisher's IPI name number. Its help tip says it is a 9 to 11 digit number.
4. In **Short code for your filenames**, type the 2 or 3 letters your society gave you, for example ABC. It is not your IPI number.
5. Press **Save settings**. Societies are saved as soon as you choose them, but these details are saved only with this button. All three are needed together: if one is missing or does not fit, the save is refused and a message says what to check.

## File settings

The fold **File settings (advanced)** holds two settings. Most publishers never change them.

- **Type of file**: **New registrations** or **Updates to existing registrations**. It is the choice the prepare page starts from for a [new registration](/docs/cwr/glossary#transaction_type_nwr) or an [update](/docs/cwr/glossary#transaction_type_rev).
- **Lowest file number**: a whole number from 1 to 9999. Each file takes the next unused number for its society and year, so this matters only if your society asked you to start from a particular one.

## What you will see

- **You have unsaved changes.** until you save, then **Settings saved** beside the button.
- On the prepare page, your details appear already filled in, with a note that they come from Settings. If you change them there, a warning says they differ from the saved settings used for checks, so works that passed may show new issues. See [Prepare a file](/docs/workspace/files/prepare).

## If something goes wrong

- **A warning says the name is longer than a [CWR](/docs/cwr/glossary#cwr) file holds.** The warning calls it the sender name. It shows the shortened form the file will carry. Your own text is not changed. To choose the short form yourself, enter 45 characters or fewer.
- **A notice says the name ends with a comma, semicolon or colon.** If that is not part of the name, use the button beside the notice to remove it. Otherwise it would appear in your files.
- ****Lowest file number** shows **Use a whole number from 1 to 9999.**** Correct it: **Save settings** stays off until you do.
- **A message above the cards says why a save failed.** Problems with the IPI number or the name are explained at [the sender ID problem](/docs/cwr/problems-and-fixes#sender-id) and [the sender name problem](/docs/cwr/problems-and-fixes#sender-name). Those pages are shared with the Workbench, TrackForge's free public tool, so "Where to fix it" there names the Workbench.
- **The settings changed while you were editing.** The message comes with a button **Reload current settings**. Your entries stay on screen: compare them with the current settings before you save again.
